Are You Prepared For Your Next Event?

Whether you’re planning a full scale conference at a large venue, or an internal training session, you’ll understand that your event will only run successfully if you’re well organised and have the right equipment on the day. There’s nothing worse than getting to the event and finding that you don’t have sufficient badges for your delegates, or that your flipchart pad only has 2 sheets of paper left – this type of issue can make you feel stressed and disorganised which can have a negative impact on the rest of your day.

 

Getting Started

If this is the first event of its kind that you have organised, you really are best not do it alone. Speak to someone within your workplace who has run the event before, to find out their top tips for getting started. They may be able to recommend booking a particular venue as it caters for the right amount of people, they could have a list of possible delegates to invite or some interesting speakers who would be worth contacting. It may be that this person also has inside information on how to access particular presentation equipment within the organisation, or they may know where to source it from externally.

Book Early

It goes without saying, but a decent venue will be booked up well in advance. Make sure you carry out your venue research as early as possible so that you are able to book the most suitable location for your event. Remember to find out whether the venue can provide catering, or if you will need to source this from an outside company. If you are planning a full day event, your delegates will need regular access to hot drinks and snacks, as well as refreshments in the middle of the day.

 

Don’t Forget the Small Things

Once you’ve booked the main event, you may be tempted to just sit back and relax. Our advice is, don’t! People will remember the small things, so be sure to have sufficient literature to hand out to delegates, make sure your flip charts have a selection of pens which all work properly, and pre-print your speakers’ visitors badges so they are ready to hand out on the day.

Regardless of the size of your event, your guests will often remember the small things. Their lasting memory of your training session or workshop should be positive, which should evoke feelings of being inspired and well provided for. Whilst you may not be able to influence the content of the speakers’ talks, you can have an impact on the delegates’ overall experience, so get organised and make sure you have covered all eventualities.
